BuilderPay ("we", "us", "our") is committed to protecting your personal data. This policy explains what information we collect, why we collect it, how long we keep it, and your rights under UK GDPR and the Data Protection Act 2018.

Who we are

BuilderPay provides job management, invoicing, and payment tracking software for UK contractors and tradespeople. For data protection enquiries, contact us at privacy@builderpay.app.

What data we collect

We collect the following categories of personal data:

  • Account information: name, email address, phone number, business name, and password (stored securely hashed).
  • Business data: client names and contact details, job records, invoices, quotes, payment status, and any notes you enter into the platform.
  • Billing information: subscription status and payment records. Card details are processed by our payment provider and are not stored on our servers.
  • Technical data: IP address, browser type, device information, and usage logs necessary to operate and secure the service.
  • Communications: messages you send us via email or support channels.

Why we collect your data

We process your personal data for the following purposes:

  • To provide and maintain the BuilderPay service (contract performance).
  • To send invoices and reminders on your behalf, as directed by you.
  • To process subscription payments and manage your account.
  • To improve the service, fix bugs, and ensure security.
  • To comply with legal obligations, including tax and accounting record-keeping requirements.
  • To send service-related communications. We do not sell your data or use it for unrelated marketing.

Legal basis for processing

We rely on: (a) performance of our contract with you; (b) our legitimate interests in operating a secure, reliable service; and (c) compliance with legal obligations. Where required, we obtain your consent — for example, for optional marketing communications.

How long we keep your data

  • Account and business data: retained for the duration of your subscription and for up to 90 days after account closure, unless you request earlier deletion.
  • Invoice and financial records: retained for 6 years after the relevant tax year, in line with HMRC requirements.
  • Technical logs: retained for up to 12 months.
  • Support correspondence: retained for up to 3 years.

Where your data is stored

Your data is stored on servers located in the United Kingdom and European Union. We do not transfer personal data outside the UK/EEA unless adequate safeguards are in place, such as Standard Contractual Clauses approved by the UK Information Commissioner's Office.

Sharing your data

We share data only with trusted processors who help us deliver the service — such as cloud hosting, email delivery, and payment processing providers. All processors are bound by data processing agreements. We do not sell personal data to third parties.

Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your data ("right to be forgotten"), subject to legal retention requirements.
  • Request restriction of processing or object to certain processing.
  • Data portability — receive your data in a structured, machine-readable format.
  • Withdraw consent where processing is consent-based.
  • Lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

Cookies

We use essential cookies to keep you signed in and maintain session security. We do not use third-party advertising cookies. You can control cookies through your browser settings.

Security

We implement appropriate technical and organisational measures to protect your data, including encryption in transit, access controls, and regular security reviews. No system is completely secure; please use a strong, unique password and notify us immediately of any suspected breach.

Changes to this policy

We may update this policy from time to time. We will notify account holders of material changes by email or in-app notice. Continued use of the service after changes take effect constitutes acceptance of the updated policy.
